This Privacy Policy explains how Observer ("we", "us") collects, uses, and protects your information when you use the Observer desktop application and related services.
Information We Collect
We collect only the information necessary to operate and improve Observer:
Account Information
When you create an account, we collect your email address and basic profile information.
Meeting Data
Observer processes audio and screen content from your device to provide features such as transcription, AI answers, and meeting summaries.
- Audio is processed in real time and is not stored by Observer

Usage Data
We collect limited, aggregated usage data to improve the product. This data is not used to identify individual users.
Support Communications
If you contact us, we retain your messages to provide support.
How We Use Your Information
We use your data to:
- Provide and operate the Observer app
- Generate AI responses, transcripts, and meeting notes
- Process payments and manage subscriptions
- Respond to support requests
- Improve product performance and features
- Comply with legal obligations
We do not sell your personal data.
How Your Data Is Processed
Observer uses trusted third-party services to process certain data:
- Audio is processed in real time by our speech-to-text provider (Deepgram).
- Transcripts may be processed by AI providers (such as OpenAI or Google Gemini) to generate responses and notes.
- Account and application data are stored securely using our backend infrastructure.
- Payments are processed by our payment provider, Paddle, which acts as the merchant of record.
- Observer does not store or have access to your full payment card details.
- Payment and billing information is collected and processed directly by Paddle in accordance with their privacy policy and applicable regulations.
These providers process data only as needed to deliver functionality and do not use your data for their own training purposes under our agreements.
Data Retention
- Account data: retained while your account is active
- Transcripts and notes: stored to provide product features, and deleted upon account deletion (or within a reasonable period)
- Audio data: not stored by Observer
- Support communications: retained for support and operational purposes
- Billing data: handled by our payment provider and retained as required by law
Your Rights
Depending on your location, you may have the right to:
- Access your personal data
- Correct inaccurate data
- Request deletion of your data
- Object to certain processing
- Request data portability
Security
Observer uses access controls to protect your data. Meeting history is stored in your account so the product can show titles, notes, and transcripts. See getobserver.app/security for a plain-language explanation.
No system is completely secure, and we cannot guarantee absolute security.
International Data Transfers
Your data may be processed in the United States and other countries where our infrastructure providers operate.
Children's Privacy
Observer is not intended for users under 16. We do not knowingly collect data from children.
Changes to This Policy
We may update this Privacy Policy from time to time. Continued use of the app after updates constitutes acceptance of the revised policy.
